School Fluentbe System serves as your central hub for managing lessons, courses, your availability, interactions with students, your profile edits, and much more. It's where you can track your lesson plans, analyze your achievements, and maintain regular contact with our team.

To provide clarity, let's discuss each element of Fluentbe teacher's account:

The blue navigation panel on the left side

Dashboard

The first tab you'll encounter upon logging into Fluentbe is the Dashboard.

You can easily access it by clicking on the "Dashboard" button located at the top of the left-hand blue panel.

Next 5 Lessons

In this section, you'll find the next 5 lessons you have scheduled. If a lesson is marked as "scheduled," it may still appear here even if it has already taken place. You can find a full list of your lessons in the "Lessons" section.

You can navigate directly to a lesson by clicking on the scheduled time. This feature is denoted by number 2 on the screenshot.

Next 5 Demo Lessons

This section is irrelevant to you if you're not conducting demo lessons on Fluentbe.

Demo lessons are conducted by specially trained teachers selected by a group of methodologists. This is one of the paths available on Fluentbe, and to become a demo teacher, you must collaborate with Fluentbe for at least several months, avoiding late cancellations and shortened lessons, and maintaining a feedback score higher than 4.8.

Availability Calendar

Your availability calendar for Fluentbe is displayed here, marked as number 4 on the screenshot. Before making your availability visible to students, we cross-check it with your Google Calendar to eliminate any conflicting events. Remember, every change you make may affect your students' schedules, so be cautious.

Finished in [Last month]

This section summarizes all your completed lessons from the previous month. It lists lessons completed by type, duration, and specific quantity. By clicking on the 'i' icon, you can access more details about the lesson type. If you've received deductions, they will be listed under "Penalties," and clicking on the 'i' will specify the affected lessons.

Finished in [This month]

This section, this area displays lessons completed during the current month. Lessons are automatically marked as finished between 3 and 5 a.m. Warsaw time. It provides a summary of lessons by type and duration, with detailed insights available by clicking on the 'i' icon.

Attendance Score

The Attendance Score, marked as number 7, indicates your current performance. You can have a status of "Perfect" or "Suspended." A "Perfect" status means you're visible to students and the course organizing team. To avoid suspension, ensure punctuality and minimize cancellations.

"Suspended" status indicates missed lessons in the past 30 days, potentially resulting in a temporary suspension from new teaching opportunities. This status can be rectified through discussions with a mentor or teacher trainer.

Understanding the Fluentbe Dashboard empowers you to manage your teaching schedule effectively and maintain high standards of professionalism. Keep exploring and leveraging these features to enhance your teaching journey!

Students

List

The Students List, marked as number 1 in the screenshot and accessible between the Dashboard and Courses sections on the left-hand blue navigation panel, is a comprehensive roster of students assigned to you.

  1. Name Column (number 2 on the screenshot)
    Enables you to search for specific students.

  2. Courses Column (number 3)
    Displays the name of the course to which the student is assigned.
    You can filter students by course name.

  3. Company Column (number 4):
    Indicates the name of the company to which the student is assigned, applicable only to corporate/business students. Regular students will have this field blank.

  4. Languages Column (number 5)
    Provides information on the student's current language proficiency level and the language they are learning on Fluentbe.

  5. Communication Language (numbers 6 and 7)
    This hidden tab reveals the language in which the student receives communication from us and has their Student Space panel. To see your student's first language - press communication language on the filters list.
    In 99% of cases, it aligns with the student's nationality.

  6. Status
    Represents internal categorization and statistical statuses assigned to students for administrative purposes.

  7. Remaining Packages Column
    Indicates the number of lessons of a specific type remaining for the student.
    Business students typically have zero remaining lessons per package, as they have access to products according to their company's pricing plan.
    This information may not be currently accessible but will be provided soon.

Understanding the Students List equips you with valuable insights into your student roster and facilitates effective communication and management of your teaching responsibilities.



Courses


List

In the left-hand blue navigation panel, located between the Lessons and Students sections, you'll find the Courses section. Click on it and enter the List subsection (marked as number 1 in the screenshot).

Here's a breakdown of the columns within the Courses List:

  1. Name (number 2 on the screenshot)
    Search for specific courses by name.

  2. Company (number 3 on the screenshot)
    Displays the company name to which the course is assigned, applicable only to corporate/business courses.

    You can utilize filters to refine your search:
    Filled Filter: Locate only business courses.

    Empty Filter: Find courses for regular, non-business clients.
    Company Filter: Search for courses from specific companies.

  3. Type (number 4 on the screenshot)
    Indicates the type of course the student is enrolled in, such as individual, group, shared, young adult, teen, or kid.

  4. Languages (number 5 on the screenshot)
    Shows the language of instruction for the course.

  5. Level (number 6 on the screenshot)
    Indicates the proficiency level of the course.

  6. Teacher (number 7 on the screenshot)
    Lists the name of the assigned teacher.

  7. Next Lesson (number 8 on the screenshot)
    Displays the date of the student's next lesson. You can contact students without scheduled lessons to encourage them to book sessions.

  8. Schedule (number 9 on the screenshot)
    Provides information on the fixed schedule assigned to the course.

  9. Seats Left:
    Indicates the number of available seats in the course.


Using Filters

You can utilize filters to refine your search:

  • Filled Filter: Locate only business students.

  • Empty Filter: Find courses for regular, non-business clients.

  • Company Filter: Search for courses from specific companies


Lesson Icons

Pay attention to lesson icons:

  • A circle with an arrow indicates a recurring lesson.

  • A lightning bolt signifies a lesson booked by the student through their panel.

  • Both icons together denote a recurring, student-booked lesson.

  • Only a lightning bolt signifies a single lesson booked by the student.

  • Only a circle with an arrow indicates a lesson booked by you or the system.

Archived

In this section, you'll find a list of all archived courses.

An archived course signifies that you have access to its history and all its lessons.
However, you cannot contact students or schedule lessons within an archived course.

If a course is archived, you'll receive an email notification explaining the reason for archiving it.

Archiving a course is done for organizational purposes or due to specific circumstances related to the course or student. It allows you to maintain a clear and organized record of past courses while focusing on current teaching responsibilities.

Remember to check your email for notifications regarding archived courses, as they provide valuable insights into your teaching journey and help you stay informed about changes in your course roster.


Lessons

List

The Lessons section is located in the blue navigation panel between Courses and Fluentbe Presentations. It is where you'll find all your lessons with statuses 'scheduled' and 'finished'. (Below, we have provided a screenshot. The location is marked as number 1.)

Upon entering the section, all scheduled lessons are displayed by default, sorted from the nearest upcoming to those scheduled later. At the top of the list, you may find lessons that have already ended but are not yet marked as finished. By clicking through pages or applying filters in the last column, you'll eventually find finished lessons.


Columns in This View

Course
Lists the courses in which you have scheduled or finished lessons. You can search for specific courses here. (Below, we have provided a screenshot. The location is marked as number 2.)

Course type
Displays the types of individual courses. You can search for lessons of specific types.

Teacher

Your name and surname.

(Below, we have provided a screenshot. The location is marked as number 4.)

Date

The exact date of the lesson, considering the time zone you've set in your profile. You can search for lessons on specific days here.

Status

Indicates the status of lessons, which can be either finished or scheduled. Apply filters to search for lessons with specific statuses.

Date Range

You can search for data within a certain period or specific days using the date range feature. This allows you to focus on lessons within your preferred time frame and effectively manage your teaching schedule.

The Lessons list defaults to displaying scheduled and finished lessons from the past 30 days and the upcoming 30 days. However, you can change the display range using the date filter.

Check the list to monitor the lessons that are scheduled.

Canceled

This is a subsection within the main Lessons section, which you can find in the left-hand blue navigation panel. (Below, we have provided a screenshot. The location is marked as number 1.)

Here, you'll find a complete list of canceled lessons. These include all canceled lessons, whether by students or by you, along with their reasons (if known).

By default, we display the last 90 days up to today on this list.


Columns Displayed in This View


Course
Lists the courses in which the canceled lessons occurred. You can search for specific courses here.

Course type
Displays the types of individual courses. You can search for lessons of a specific type.
(Below, we have provided a screenshot. The location is marked as number 3.)

Teacher
Your name and surname.
(Below, we have provided a screenshot. The location is marked as number 4.)

Date
The exact date of the canceled lesson, considering the time zone you've set in your profile. You can search for lessons on specific days here.

Status
Shows the statuses of canceled lessons. In this view, the statuses are for canceled lessons. Apply filters to search for lessons with specific statuses.

Date Range Filter

You can search for data within a certain period or specific days using the date range feature. This allows you to focus on lessons within your preferred time frame and effectively manage your teaching schedule.

Substatuses of canceled lessons include

  • Canceled by student
    The student canceled the lesson more than 24 hours before the scheduled date

  • Canceled by student in less than 24h
    The student canceled the lesson less than 24 hours before the scheduled date, and you as the teacher will receive full compensation for such canceled lessons

  • Canceled
    The lesson was canceled by the office and through the system.
    Such a cancellation does not affect the student, the teacher, and is not considered in any settlements.

  • Canceled by teacher
    The teacher canceled the lesson more than 24 hours before the scheduled date.

  • Canceled by teacher in less than 24h
    The teacher canceled the lesson less than 24 hours before the scheduled date, and you as the teacher may face consequences such as deductions.

  • Canceled (no show)
    The lesson where you as the teacher did not appear or cancel the lesson.
    You will face consequences such as deductions

  • Canceled (not paid on time)
    The lesson was canceled by the system because the student did not pay for the previously reserved lessons on time. The cancellation occurs more than 24 hours before the scheduled start date.

Remember that canceling lessons affects your performance. Statistics show that teachers who do not cancel their students' lessons are the ones students prefer to learn with the most and for the longest duration.

Course Program List

This is an incredible section located at the bottom of the left-hand blue navigation panel. In this section, you have full access to our materials and can preview yours and your students'. (Below, we have provided a screenshot. The location is marked as number 1.)

Columns Displayed in This View

Name

The name of the presentation collection displayed in your course.

Language

The language of the materials.

(Below, we have provided a screenshot. The location is marked as number 3.)

Level

The level at which this specific material applies.
(Below, we have provided a screenshot. The location is marked as number 4.)

Status

Active / Not active - Indicates whether these are currently used materials.

Number of Materials

The number of lessons within the selected collection.

Tags

General / Business English depending on the content.

The order of the topic in the program (Marked as 6 in the screenshot)

Duration
The standard length of the lesson for which the lesson is prepared (Marked as 7 in the screenshot)

Total parts
1 or 2, if 2 it means that the topic has been divided into two parts for students who complete 30-minute lessons. The full lesson will be completed after two completed sessions. (Marked as 8 in the screenshot)

Goals
Lesson objectives to be achieved during the classes (Marked as 9 in the screenshot)

Tags
Special info (Marked as 10 in the screenshot)

Preview
Section responsible for previewing all activities related to the lesson from the student's perspective (Marked as 11 in the screenshot)

Each lesson has a series of activities assigned to the student.

Check what tasks your student performs.

  1. Lesson - Summary of lesson material with tasks

  2. Pre-lesson - Preparation for the lesson with interactive tasks

  3. Homework - Homework after completing the lesson, reinforcing the lesson material

You don't have access to flashcards, which are a set of vocabulary exercises assigned to the lesson.

My Profile

Your profile is where you can update your information, manage settings, and monitor your activities. Explore what you can adjust independently and what requires support from others. My profile, though not explicitly named as such, is essentially what it is, and you can always access it by clicking on your avatar in the top left corner.


Profile

In the "My Profile" section, you'll always find yourself by clicking on your avatar in the top-left corner of the navigation panel. Once clicked, you'll land in a familiar place outlined in the article "Set up your profile." Here's what you can check and modify in this section.


Changing Your Profile Picture

You can change your photo by yourself. You don't need anyone's help for this.

Remember, this photo will be visible on our website, on Student Space, and in suggested teacher profiles - so make sure it's your best one.

Changing your time zone affects how all dates are displayed on your profile.

Make sure to update your timezone to match your location. If changing your timezone also means changing your place of residence, inform the finance department at [email protected], as it may affect tax matters.

Teaching Preferences

Changes to age groups and course modes can only be made by the methodical team. (Highlighted as number 4 in the screenshot.)

Contact Details

You can't make changes to this section by yourself. If your details have changed,

A profile video is essential as it provides a personal connection with potential students, showcasing your teaching style and passion.

On this tab, you'll find all lessons displayed by default from the last 30 days and those scheduled in the future. To view all lessons conducted on Fluentbe, click the "Show all" button marked on the screenshot as number 8.

Here, you'll find lessons with statuses such as canceled, finished, scheduled, and pending. For a more detailed view, navigate to the "lessons" section on the left side of the blue navigation panel and click "list" to see all scheduled and conducted lessons.

In the columns, you'll find specific information:

Date
The lesson date is displayed always in the time zone set on your profile.

The name of the course under which the lesson is conducted.

Subject
The topic of the lesson that has been or will be conducted.
(Number 4 on the screenshot)

Attendees
The attendance of students in the lesson.

The average feedback from participants for that specific lesson.

The status of the lesson is without details.

Courses

On this tab, you'll find all active courses and the dates of upcoming lessons within them. From this point, you can easily navigate to each of your courses to, for example, contact the student. Simply click on the course name.




For a more detailed view of your courses, navigate to the "Courses" section on the left side of the blue navigation panel and click "Courses list" to see detailed data about your courses, or "Courses archived" to check the history of your courses on Fluentbe. Remember that archived courses cannot schedule lessons with you, and you cannot contact the student.

In the columns, you'll find specific information

  • Name
    Course name

In this tab, you will find all active regular lesson schedules and the dates they were added. You can easily understand which student and course have a reserved regular slot in your calendar. It's worth looking at this list when planning availability changes.

To see a more detailed view of courses or lessons, navigate to the Courses or Lessons section on the left side of the blue navigation panel. Remember, it's good practice to engage students in setting up regular lessons, which will ensure regularity for both you and them.

This section is briefly mentioned here as it is one of the most important features of our school. Therefore, it has a completely separate article dedicated to it, which you can familiarize yourself with here.

In the screenshot, I've outlined a few options that you'll learn more about in the article linked above.

Switching time

You can choose 0 min, 5 min, 10 min, 15 min. This is the time that will be your break between lessons. We don't consider it when booking the first lessons with students, however, all subsequent slots displayed in your calendar will be with this break.

Advance notice
(marked as 3 in the screenshot)
0h, 1h, 3h, 6h, 12h, 24h
The minimum booking time for your lessons.

Google Calendar Integration
(marked as 4 in the screenshot)
Make sure it's connected.

If you see a red Disconnect button, it means the calendar is connected.

If you see a blue Connect text, it means you need to connect the calendar.

Make sure to press save calendar changes when modifying availability.
This is the availability for Fluentbe, which will fetch free events in these intervals from your Google calendar.
Remember that any changes in availability made here will impact your students' schedules.

Teaching Opportunities

(Highlighted as number 1 in the screenshot below.)

While most courses are allocated based on your openness to new courses and your availability matching the student's preferences, sometimes we send offers.

We send offers in two cases:

  1. Substitutions for single or multiple group lessons

  2. Non-standard courses

Offer is expired

If the offer has expired, it means that someone accepted it before you.

Don't worry, that's just how it works. Perhaps next time you'll be quicker.

Offers are rare. We often send offers to several teachers at once because we sometimes have only a few minutes to organize a course, so it's always a chance for an unplanned extra hour of teaching.


Teachers Stats

This is a crucial section where you can monitor your statistics and understand your performance. We've dedicated a separate article to it, which you can access by clicking the button below.

The article emphasizes the importance of tutor engagement, professionalism, and commitment, highlighting that statistics reflect these qualities. It underscores the significance of punctuality and maintaining lesson duration, even in the absence of students. Cancelling lessons can erode student trust, hence tutors are encouraged to attend scheduled classes unless absolutely necessary.

The section titled "Learn from Your Stats" guides tutors on accessing their statistics on Fluentbe, offering insights into completed lessons, no-shows, punctuality, delays, shortened lessons, and cancellations. Detailed information includes lesson dates, types, statuses, course names, and timings, enabling tutors to monitor their teaching performance effectively.

Salary

This is definitely the most popular section, dedicated to your earnings and providing insights into them over the months. Feedback

(Highlighted as number 1 in the screenshot below.)

Feedback is the section where you will find a summary of all the ratings that students leave on your lessons. This is another key factor affecting the number of new students and positioning. Make sure your feedback is as high as possible.

The top Fluentbe teachers have feedback above 4.7.


Where does feedback come from?

Every single lesson at Fluentbe can be rated by the student. We propose a statement and display responses in stars from 1 to 5 where:

  • 1 - means strongly disagree,

  • 5 - means strongly agree,


We ask the student to respond to the following statements

  1. The level of difficulty of today's class was appropriate for me.

  2. The teacher explained the topics understandably.

  3. I am satisfied with the way the teacher corrected me during the class.

  4. I feel that I have mastered the material from the class.

  5. I spoke a lot.

  6. The exercises were interesting.

  7. I learned something new.

  8. The teacher showed me how to apply today's topic in practice.


    As well as technical issues:

  9. I heard the teacher well.

  10. The quality of the teacher's image was good

Feedback is more than just a routine exchange of comments; it is the lifeblood of effective teaching and learning. In language instruction, feedback bridges the gap between comprehension and proficiency. It offers students insights into their progress, highlights areas for improvement, and fosters a culture of continuous learning.

To make feedback meaningful and actionable, it should adhere to several principles:
