1. Keep Your Profile Up to Date
Your Fluentbe profile remains important after onboarding. Keeping it accurate helps us match you with students and courses that fit your experience and availability.
Pay particular attention to your regular working hours. They should show when you can consistently teach over the coming weeks and months rather than occasional one-off availability.
Make sure that:
your availability is accurate,
your calendar remains connected and synced,
your time zone is correct, especially when travelling or moving,
your teaching preferences are up to date,
new qualifications or exam-preparation skills are added,
your bio reflects your current experience,
and your introduction video is still current.
If you cannot edit a section yourself, contact us.
The more accurate your profile is, the easier it is for us to offer you courses that are a good fit.
2. Monitor Your Teaching Statistics
Open the Stats tab in your profile to see an overview of your teaching activity.
Pay particular attention to:
No shows
Lessons started late
Lessons shorter than planned
Lessons cancelled by teacher in less than 12h
At Fluentbe, the expected number of no-shows is zero, and late cancellations should be kept to an absolute minimum.
Strong statistics help you build a reliable teaching record and give students the consistency they expect.
No-shows, repeated late cancellations, repeated late starts, and lessons shorter than planned may result in deductions, suspension from receiving new course offers, and further follow-up.
3. Check Your Dashboard Regularly
Your Fluentbe Dashboard is the reliable place to check your scheduled lessons.
Google Calendar is a useful additional tool, but because it is a third-party service, it cannot be fully controlled by either Fluentbe or you.
If a student tells you that they intend to cancel a lesson but the lesson still appears on your Dashboard, start the lesson and remain there until its scheduled end.
A few simple habits can help you maintain strong statistics:
Check your Dashboard regularly.
Keep your calendar connected and synced.
Start and finish lessons on time.
Deal with unexpected situations as early as possible.
Know how to access your Fluentbe profile from your phone.
You can log in to your profile from your phone using your usual credentials. This is a useful backup when you are away from your computer and need to make an urgent change.
4. Communicate with the School
Communication is one of Fluentbe core values.
Behind the interface is a team of people working together to support you, your students, and your courses.
There are two main ways to contact us:
Chat – for immediate issues.
Email your mentor – when your question needs more context or personalised support.
When contacting us, describe your query clearly and include any useful information or documentation, such as screenshots. This helps us understand the situation and support you more efficiently.
Depending on the situation, we may also arrange a meeting.
Remember that the mentor team works together, so another mentor may sometimes contact you or help with your case.
Communication with your students is equally important. Reply to their messages and make sure they receive any important information that may affect their lessons.
Knowledge Base
For non-urgent questions and teaching resources, use the Fluentbe Knowledge Base.
Search using keywords to quickly find the information you need, including:
policies and procedures,
workshop recordings,
FluentPeer videos,
teaching resources,
and other practical guidance.
FluentPeer videos are designed specifically for the Fluentbe classroom and show practical ways to work with our materials.
If you notice an issue directly in the classroom, use the available reporting or comment option. We pay attention to your feedback. Some changes may take time to implement, but every report helps us improve the teaching experience.
Report, communicate, and be proactive.
5. Course Changes
You might need to make changes to a course.
One common example is a level change. Use what you observe during lessons to guide your decision.
A useful process is:
Observe → Discuss → Adjust
Young Learner & Exam Preparation Courses
If the level needs to change:
Adjust the level.
Adjust the materials.
After changing the level, make sure the correct book and materials are selected.
If the materials do not update correctly, contact us and we will assist you.
Adult Courses
Some Adult courses allow teachers to change the level directly. When this option is available, the teaching resources will update automatically.
Other Adult courses may require support from the office team. If you cannot make the change yourself, contact us.
Customization
Courses may also need adapting when a student wants to focus on a particular topic or area.
Most individual courses, as well as some group courses, can be customized.
Use the Customization button to:
Open the student’s current curriculum.
Select Add More Lessons.
Filter materials by level or search using keywords.
Choose a topic together with the student.
Add the selected material to the curriculum.
The Fluentbe library also contains a wide range of English for Specific Purposes (ESP) courses, including areas such as accounting, engineering, and medicine, as well as seasonal lessons.
At Fluentbe, flexibility and customization start with the materials you already have.
Adapt the lesson content first. Add customization when it genuinely supports the student’s progress or goals.
6. Professional Standards
As a Fluentbe teacher, you represent the school in every lesson. We expect you to create a professional, comfortable, and welcoming online learning environment.
You do not need to dress formally – just look professional, comfortable, and ready to teach.
For example, a simple shirt, blouse, or neat top is suitable. Please avoid sleepwear, beachwear, overly revealing clothing, or clothing with inappropriate slogans or images.
Your teaching environment matters too. Choose a quiet, well-lit space where you can focus fully on the lesson and where students can clearly see and hear you.
These simple habits help students feel comfortable and confident during their lessons.
7. Lesson Visits
As the final step of onboarding, one of your regular lessons will be observed.
You will be notified in advance by a teacher trainer, who will also explain the process.
After the lesson, you will arrange a short meeting with the trainer to discuss the feedback and any questions you may have.
Lesson visits are designed to support you in understanding and meeting Fluentbe teaching standards. Your trainer can provide practical guidance and personalised support whenever useful.
More lessons may also be observed in the future, for example as part of quality assurance for a specific company, course type, or other focus group.
8. Student Feedback
You can find your student ratings in the Feedback tab.
Student feedback is an important part of your teaching profile and a useful way to understand how students experience your lessons.
Check your ratings regularly. They can help you see what is working well and where there may be room to improve.
One lower rating is not necessarily a problem. Instead, look for patterns and consider whether there is anything you could adjust.
