Getting your profile ready is the first step toward starting your teaching journey at Fluentbe. This guide will walk you through the process step by step so you can prepare everything efficiently before your first meeting with your mentor.
1. Fluentbe Teacher Account Invitation
Start by checking your email inbox for your Fluentbe invitation.
If you don’t see it, check your spam folder
If it’s still missing, contact the Fluentbe team
Once you find the email:
Open the invitation link
Create your password
Sign in to your account
2. Access Your Profile Settings
After logging in:
Click the profile icon in the top-left corner
This is where you’ll begin setting up your profile
3. Add a Professional Profile Photo
Your profile photo is visible to students, so it plays an important role in first impressions.
Your photo should be:
Professional
High-quality and clear
Well-lit
Friendly and approachable
Tip: If you have trouble uploading your photo, try taking a screenshot of it and uploading that instead.
4. Complete the Profile Tab
You’ll see several sections in your profile. For now, focus only on the key ones.
Set:
Your nationality
Your time zone
⚠️ Important:
Your time zone determines how your availability appears to students.
If you change your location later, inform the finance team.
Locked Sections
The following sections will be completed later with your mentor:
Teaching preferences
Specialties
Languages you speak
Languages you teach
Exams you prepare for
Skip these for now.
Headline, Bio, and Profile Video
These three elements are essential - students often decide whether to book a lesson based on them, and all three must be completed before your first meeting with your mentor.
Headline
Write a short, engaging sentence that highlights your value.
Example:
“Helping professionals speak English confidently”
Bio
Explain:
Your teaching style
Your experience
Who you help
What students can expect
Keep it:
Clear
Friendly
Student-focused
Profile Video
Around 1 minute long
Helps students understand your personality and teaching style
Helpful sentence starters:
“Hi, my name is…”
“If you want to…, I can help.”
“I specialize in…”
“In class, we will…”
“Mistakes are welcome…”
“If you’re ready, book a lesson.”
And don’t forget to smile 😊
5. Set Your Availability (Calendar of Availability Tab)
Key Settings
Switching Time
Breaks between lessons
For now, leave at 0
Advance Notice
Set to 24 hours by default
Adjust later if needed
Connect Your Google Calendar
Click to connect your calendar
Allow access
Select your Primary calendar
✔ The system will only access scheduling information (not personal details)
Set Regular Working Hours
Define your long-term availability:
Think weeks or months ahead
Create longer time blocks
Don’t set breaks here
Click Save Changes when done.
6. Managing Time Off
Do not add availability in Google Calendar.
Instead:
Set availability in your Fluentbe profile
Use Google Calendar only for absences
Example:
If you normally work Monday 8:00–12:00 but want a day off:
Open Google Calendar
Create an event (e.g., “Time off”)
Save it
Then check Booking Preview:
Regular days → available
Time-off days → unavailable
⚠️ If lessons are already booked, you must cancel them manually in Fluentbe.
7. Technical Requirements
Before your first mentor meeting, make sure your setup meets these requirements:

PC or laptop:
Windows 10/11 or
macOS 11 or newer
External microphone
External high-resolution webcam
Internet
Minimum:
30 Mbps download
20 Mbps upload
Test your speed at https://www.speedtest.net/
Software
Latest 3 versions of:
Google Chrome or
Microsoft Edge
VPN must be disabled
Antivirus must not block Fluentbe
8. Final Checklist
Before meeting your mentor, confirm that you have:
Uploaded a professional photo
Set the correct time zone
Written a strong headline and bio
Added a profile video
Set your availability
Connected your Google Calendar
Verified your technical setup
