This guide outlines our policies on cancellations, no-shows, and replacements, detailing when deductions apply and what leads to suspension.

Individual lessons

Cancelling

You cannot cancel the first lesson in the course, please contact our team if you can’t conduct it.

Cancellations 12+ hours before the lesson are deduction-free. Late cancellation (in less than 12 hours) results in sanctions: students lose a lesson; teachers lose pay and a deduction will be applied.

To cancel, open the lesson (click on the lesson date and time on the list), change the lesson status found on the right-hand side of the screen to "Cancelled," and provide details (cancellation type, reason, comments, and a custom message).

Message your students to let them know about your absence, especially if you haven’t written anything in a Custom Message box.

Once the lesson is cancelled, the status will be updated, and the lesson will be highlighted in red.

If a student requests a cancellation through a course message on the Fluentbe platform, politely guide them to use the student space panel or the Fluentbe app. If they are unable to cancel through those methods, you can cancel on their behalf by selecting the ‘Cancelled by Student’ option. The remaining steps are similar to the process for ‘Cancelled by Teacher.’ However, if they want to cancel in less than 12h, the lesson will be then highlighted blue as finished with Cancelled by Student in less than 12h comment.

Rescheduling

A teacher may reschedule a lesson only with the student's agreement and must do so at least 12 hours in advance.

To reschedule the lesson, locate the wrench icon on the right side of the screen, click it, and enter the new date and time.

Group courses

Our Group Courses are divided into two types: Regular (Standard) Group Courses and Company Group Courses. Both follow a fixed schedule, and it is essential that lessons are conducted at the designated times.

Remember to check your Dashboard regularly for updates or changes to your schedule and watch our video tutorial on How to request replacement.

It is, however, important to note that regularly requesting replacements may result in the course being reassigned to another teacher.

Regular/Standard Group Course (there’s no icon after the name)

Schedule: Classes are held on a set schedule, either on Monday & Wednesday or Tuesday & Thursday at 6:00 p.m. or 8:15 p.m., with no flexibility for rescheduling.

Cancellation/Rescheduling: Neither students nor teachers can cancel or reschedule. However, if a teacher cannot attend, they may find a replacement up to 6 hours before the class begins. If a substitute is not available and less than 12 hours’ notice is given, this will result in a late cancellation and deduction.

Company Group Course (with 💼 icon after the name)

Schedule: Classes occur at a set time each week, with options for students to reschedule.

Cancellation/Rescheduling:

Students may request cancellations or rescheduling by emailing our office at [email protected] or via their Student Space. Requests must be made at least 12 hours in advance; otherwise, they will lose the lesson. Remind students to handle cancellations themselves.

Teachers can request a substitute up to 6 hours before class. If a replacement cannot be found within 12 hours of the class, a deduction will be applied.

Late Cancellations, No-shows, Deductions, and Suspension

Late cancellation

A late cancellation occurs when a teacher cancels a class less than 12 hours before its scheduled start.

Make sure to monitor your Dashboard. All listed lessons are Scheduled and must be completed, even if the students are absent or told you they wanted to cancel but hadn’t contacted the office.

No teacher can cancel or reschedule a group class. If you cannot attend a class, you may find a replacement up to 6 hours before the class begins. If a substitute is not available and less than 12 hours’ notice is given, this will result in a late cancellation and deduction.

Contact the office even if it’s less than 6 hours before the scheduled class to cancel. It will result in late cancellation and deduction, but it’s always better than a no-show. A no-show will result in suspension and might mean losing the group course altogether.

No-show

A no-show occurs when a teacher fails to start their scheduled class. After 10 minutes of the scheduled start the lesson is cancelled with a “no-show” status.

We take no-shows seriously as they affect our cooperation with students and companies. We expect zero no-shows from our teachers. No-shows are the most likely reason for a student to leave our school or ask for a teacher change. If you are not able to conduct a class, you need to cancel it. If the lesson is scheduled on your dashboard, you always need to start it.

Suspension

Failure to attend a class will also result in a suspension which will be applied automatically after each no-show. During the suspension period, you will not receive any NEW offers, but your current schedule stays the same, and your students can still book lessons with you.

To address this situation, lift the suspension or get the information about its duration, and potentially remove the deduction, please follow the steps below:

We will be in touch regarding your recent no-show. Please ensure you respond within the next 48 business hours.

Provide a reason for your absence.

Submit valid proof of a force majeure event.

Please be advised that any additional no-shows (even if justified) or excessive late cancellations will significantly impact future course assignments, performance reviews, and other aspects of our cooperation, including any additional opportunities we may offer.

Cases exhibiting a pattern of repeated cancellations and/or no-shows will be subject to individual review by our team.

Deductions

As per the contractual agreement between teachers and Fluentbe, salary deductions will be applied if a teacher cancels a class less than 12 hours before its start or fails to attend a scheduled class altogether.

Only absences supported by appropriate documentation will be considered for review to lift the deduction.

Tips on Avoiding Deductions and Suspension

Head over to your Profile and take a moment to review your teaching preferences to ensure everything is up to date. Have a quick check-in with yourself:

  • Do I still want to receive teaching opportunities?

  • Are my preferences current?

  • Are my specialities accurate?

  • Am I up to date on the exams I prepare students for?

Teachers are responsible for keeping their profiles up to date. If you need assistance, feel free to contact the office!

Now go to your Calendar of availability and review the following:

Switching time - Does it work for me?

Advance notice - Is it right?

📩 Google Calendar integration - Is my calendar still connected?

👷 Your working hours - Am I still available at these hours?

🔎 Booking preview - Can you be booked at these times?

Please go and check the Google calendar you connected to your profile and review it there.

Check your Dashboard for the next 5 lessons, and investigate, or flag to us any issues.

If you have more than five lessons in a day, head to the Lessons tab to review them.
